The Payroll Specialist is responsible for ensuring accurate and timely payroll processing across multiple regions, including the United States, Canada, and Australia. This role exists to support the organization’s compliance with labor laws and tax regulations, maintain the integrity of employee data, and ensure employees are paid correctly and on time. The position plays a critical role in managing payroll systems, administering deductions and benefits, and supporting internal reporting and audits. By maintaining precise records and providing responsive support, the Payroll Specialist helps drive operational efficiency and employee satisfaction across the organization.

AS A PAYROLL SPECIALIST, YOU WILL:
Process payroll for U.S., Canada, and Australia subsidiaries on a semi-monthly and bi-weekly basis using BambooHR Payroll, Nethris (Canada), and Xero (Australia); ensure accurate wage calculations, time tracking, overtime, deductions, and direct deposit payments, including off-cycle commission runs.
Lead state payroll tax compliance initiatives by auditing active state registrations, confirming proper TPA access, consolidating duplicate accounts, maintaining login credentials, and resolving discrepancies to ensure full regulatory compliance across all states. Administer and maintain HRIS systems by accurately onboarding new international hires into payroll platforms and keeping employee data current and precise throughout the employee lifecycle.
Manage employee terminations by processing final payments such as wages and PTO payouts accurately and communicating these to People Operations team members in a timely manner.
Maintain payroll records and documentation by tracking employee job changes, pay rate adjustments, tax information, and organizing files for easy retrieval of historical data.
Ensure payroll tax compliance by staying up-to-date with federal, state, and local tax laws; work with BambooHR to set up and maintain all necessary payroll tax accounts per state and locality.
Oversee timekeeping operations by utilizing BambooHR’s system to collect and review national and international timesheets, ensuring the accuracy of hours worked and compliance with labor laws.
Coordinate payroll deductions and benefits by collaborating with the benefits administrator to enter and update benefit-related payroll items (e.g., health insurance, retirement plans, HSA/FSA, superannuation, 401(k), garnishments) into the payroll system and ensure accurate processing of deductions.
Support reporting and audits by generating payroll reports for management, assisting the Finance department with GL payroll entries, and partnering with the HR & Benefits Administrator 401(k) administration and the Finance department for 401(k) audit preparation.
Respond to payroll and HRIS inquiries from employees in a timely and professional manner, ensuring clarity and accuracy in all communications.
Superannuation, IAS, and AUS Payroll Tax: File quarterly superannuation payments, calculate superannuation for contractors, work with Finance team to submit monthly IAS payments, and prepare year end payroll tax submissions for each state
Canada ROE production: Produce ROEs when employees are terminated or on an unpaid leave.
EXPERIENCE & SKILLS:
Bachelor’s degree in Payroll Administration or similar discipline (equivalent experience will be considered)
1 to 3 years of experience in an Payroll-related or payroll tax specialist role preferred
Working knowledge of federal, state, and local payroll tax laws (U.S. and international)
Ability to maintain and audit state tax accounts and ensure compliance
Excellent computer skills, with a demonstrated ability to learn new software quickly
Strong attention to detail and process
Excellent customer service attitude
Experience with payroll software, especially BambooHR, Xero and Nethris, is a plus
Working knowledge of Canada ROE requirements, and Australia Superannuation & tax
Understanding of year-end processes (e.g., W-2s, tax adjustments, 401(k) audits)
Ability to identify and resolve discrepancies in payroll or tax data
Skill in organizing records and supporting financial reporting
Clear and professional communication with employees on payroll/HRIS matters
Ability to explain payroll concepts and resolve inquiries promptly
Collaboration with cross-functional teams (HR, Accounting, Benefits)
Skilled in using payroll software, Excel, and HRIS integrations
Understanding of how payroll entries affect general ledger booking
Handles sensitive employee and payroll information with discretion
Maintains a high standard of ethics and trustworthiness in data handling

OFFICE INFORMATION:
Leap Event Technology is a 100% remote-friendly company. However, we do offer the option of working in the office for employees located in Montréal (CAN), Dallas (U.S.), Sydney (AUS). All of our offices are stocked with snacks and drinks and we provide a free lunch every week. We offer a monthly travel stipend, and even host the occasional themed party and happy hour!
If you don’t live near an office but happen to be visiting nearby, you can work from the office for as long as you need.

Leap Event Technology requires all Event Operations employees and contractors who will be representing the company at a client event to be fully vaccinated at least two weeks prior to attending.
